Sample: Report and Inventory / Final Report (Iowa Code style) for the Estate of Eleanor M. Doe

Everything about this estate is made up except the format. Every figure below is produced by the ledger from ordinary entries (a house sold at a gain, dividends, the funeral bill, two distributions), and it balances to the penny. Yours would look like this, with your numbers.

Estate of Eleanor M. Doe
IN THE IOWA DISTRICT COURT FOR COUNTY
IN THE MATTER OF THE ESTATE OF Eleanor M. Doe, DeceasedProbate No.

FINAL REPORT

Iowa Code 633.477
Iowa prescribes no form for a final report. Chapter 7 of the Iowa Court Rules prescribes mandatory forms for adult guardianships and conservatorships, a different proceeding, and none for a decedent’s estate. This document is built from Iowa Code 633.477 alone; confirm what your own county expects before filing.

The personal representative of the estate of Eleanor M. Doe sets forth the following in this final report.

1. Real Estate Not Sold and Conveyed

An accurate description of all the real estate of which the decedent died seized, stating the nature and extent of the decedent’s interest, which has not been sold and conveyed by the personal representative. Iowa Code 633.477(1) asks for neither a value nor a total for this real estate, and none prints here.

DescriptionNature and extent of the decedent’s interest

2. Testate or Intestate

The decedent died (testate or intestate).

Name and residence of the surviving spouse, if any:

4. Heirs, in an Intestate Estate

In intestate estates, the name and place of residence of each of the heirs and their relationship to the deceased (Iowa Code 633.477(4)). In a testate estate this item is left blank and item 5 below is used instead.

NameRelationship to the deceasedPlace of residence

The estate record carries the names of everyone it recorded a distribution to, but not their relationship to the deceased or their place of residence. Those two columns are the preparer’s, and anyone entitled who has received nothing yet has to be added.

5. Devisees, in a Testate Estate

In testate estates, the name and place of residence of each of the devisees and their relationship to the deceased, and the name and residence of after-born children, if any, as defined in Iowa Code 633.267 (Iowa Code 633.477(5)). In an intestate estate this item is left blank and item 4 above is used instead.

CASH ON HAND AT THE CLOSE OF THIS REPORT: $387,135.87

The cash on hand at the report and inventory, plus any money found later, plus the receipts, less the disbursements. A distribution made in kind is not a cash disbursement and carries no figure in either money column here; it appears in its own list below.

Property Remaining, Other Than Money and Real Estate

What is still held other than money and real estate, real estate being described separately in item 1 above.

DescriptionValue
Brokerage account, Vanguard$186,320.44
Household furnishings and personal effects$6,500.00
Coin collection found in decedent's safe deposit box$2,150.00
Total property remaining$194,970.44

Property Received Since the Report and Inventory

Property other than money received since the report and inventory. Money found later is in the cash accounting above, on its own line, so nothing is listed twice. An item here that the estate still holds is also in Property Remaining above: this schedule is the history of what came in, that one is what is on hand now, and the two are not added together.

DescriptionValue
Coin collection found in decedent's safe deposit box$2,150.00
Total property received$2,150.00

Distributions in Kind

BeneficiaryItemCarrying value
Michael Doe2021 Subaru Outback$17,800.00

A distribution made in kind carries no figure in the cash accounting above. The item itself leaves the property remaining.

10. Taxes

A statement as to whether all statutory requirements pertaining to taxes have been complied with, including whether the federal estate tax due has been paid and whether a lien continues to exist for any federal estate tax:

Whether inheritance tax was paid or a return was filed in this state, for a death occurring before January 1, 2025:

Inheritance tax applies only to a death occurring before January 1, 2025 (Iowa Code 633.477(10), as amended by 2025 Acts ch 148 s 47). The federal estate tax statement above is not gated by that date.

11. Attorney Fee Itemization

On the personal representative’s request, an itemization of the attorney’s services, time and responsibilities, for estates of decedents dying after January 1, 1981. The estate record cannot know which branch applies, so both print.

An itemization of the attorney’s services, time and responsibilities is attached.

The personal representative was informed of the provisions of Iowa Code 633.477(11) and did not request the itemization.

12. Claims

A statement as to whether all statutory requirements pertaining to claims have been complied with, whether all claims including charges have been paid, and whether a lien continues on any property as security for a claim:

13. Genetic Material

Whether the decedent left genetic material:

If so, sufficient assets are reserved for any posthumous heir, the personal representative will wait two years from the date of death before final distribution, and a supplemental report will follow.

Compensation

Compensation recorded on the estate’s ledger$9,400.00

The Iowa Code 633.197 fee ceiling on the probate inventory, and the Iowa Code 633.198 attorney fee cap it also sets, are shown on the report and inventory, not repeated here.

Closing This Filing

Final settlement is due within three years of the second publication of the notice to creditors, unless the court extends the time (Iowa Code 633.473).

Notice of this final report and of the personal representative’s discharge is given as Iowa Code 633.40 provides, and may be waived (Iowa Code 633.478).

No court order is needed, and this final report’s own prayer is self-executing, where every distributee is an adult under no legal disability, has signed a notice waiver and a dated consent no more than thirty days old, and the personal representative has complied with section 422.27 and, for a death occurring before January 1, 2025, section 450.58 (Iowa Code 633.479(2)).

This is chapter 633’s final report. An estate administered under chapter 635, the small-estate route for probate assets of two hundred thousand dollars or less, files the same report and inventory but does not close with this document: it closes with a closing statement under Iowa Code 635.8, carrying an accounting and proposed distribution, on which interested persons have thirty days after service to object. ExecutorLedger does not produce that closing statement.
